File Storage Areas at HC

In order to enable IT to protect college files and records from loss, data corruption, security breaches, and to enable the work of the college through the most efficient data sharing, IT needs to be able to manage, back up, and protect the storage systems for those files. Adherence to these guidelines allows IT to be most effective and efficient in that work.

Here's an outline of file storage / drive purposes:

Students & Employees:

  • NOT actively managed / backed up / secured by IT:

  • (the student/employee is responsible for any desired backups and security)

    • C:\ (local system) = personal non-work / school related files

    • - eg: vacation pictures, music files, etc.

    • Google Drive (drive.hesston.edu) = personal and specific sharing cases

    • - still in exploration for best use methods; not currently a managed solution by IT

    • - please be careful / cautious in use and ask for help when in doubt

    • - eg: a great solution for students to keep copies of school work

    • Microsoft OneDrive (login.microsoftonline.com) = personal and specific sharing cases

  • Managed (backup and security) by HC IT:

    • H:\ (Home) = personal student / employment related files that are never given to anyone else

    • - eg: reviews, financial statements, health forms, etc.

    • M:\Classes (Shared) = class shared storage

    • - eg: shared Mathmatica files for Calculus

    • Moodle courses (moodle.hesston.edu) = course specific documents and files

    • - eg: assignments, quizzes, syllabi, etc.

    • myHesston (my.hesston.edu) = for candidates, students, alumni, etc.

    • - eg: admissions documentation, new student forms, etc.

Employees:

  • NOT actively managed / backed up / secured by IT:

    • F:\ (OpenZone) = temporary interdepartmental file sharing

    • - periodically 'cleaned out' - long term shared files should have a home within M:\

    • - eg: files for printing in Copy Center, temporarily passing files between departments, etc.

  • Managed (backed up and secured):

    • G:\ (Jenzabar) = Jenzabar related files and documentation

    • - eg: report definitions, constituent-record linked files, etc.

    • K:\ (or other dept assigned letters) = departmental work related files

    • - accessible to someone needing to do your job (subfolders may be organized and secured as needed)

    • - eg: coursework, administrative files, department meeting minutes, director's private folder, etc.

    • M:\ (Shared) = interdepartmental working groups / committees, and class shared storage

    • - Teams/Committees/Groups grouped in folders for scope/type

    • - eg: Campus Stewardship Committee (M:\Administrative\CSC), Employee_Info., etc.
